I do scan a lot of stamps, and early found a system that has worked for me. I have a computer (Windows 10) with 4 separate hard disks. On the largest of them I have a folder named Scan. Inside that folder I have new folders named after what I scan. Stamps from France go into the 'France' folder and so on. That way I easyly can find a stamp-image later, I just look in the folder with same country name as the stamp. The 'Postmark calendar stamps' I also store in a system easy to find. Every month has a folder. stamp-images are named with the date day-mont-year 01-02-20 (1st february 2020). Data system like that format and stack them in ascending order. (Folder names in Norwegian, sorry) Innside a folder it look's like this: If this can help someone it's great. I would love to see your stamp-image system.

Well organised! tobben63 Good idea for a new thread Nowadays I am too busy creating and populating DYI pages, so not much scanning done of single stamps. However I did it earlier, and plan to do it again for certain older stamps. I name each scan individually based on year and catalog number so that the scans appear in a logical sequence, like Tobben did for his date-stamps: To reduce the time needed for scanning single stamps, I am currently simply taking photos of entire album pages, and keep them available on skydrive for later reference and available from anywhere. This can be useful at auctions etc when looking at purchasing more stuff. The pages are named individually so that they appear in a logical manner: For the files structure itself, I am reorganizing my file structure in parallell with reorganizing my WW collection. Earlier all countries etc were simply sorted into albums and folders from A-Z: However (as explained IN THIS THREAD ) I am reorganising my WW collection and therefore also the file-structure into Continents and Regions. The new file structure is thus changed into a multiple layer structure: - Continents - Regions - Countries - Countries Sub folders One of those sub-folders are dedicated for photos/scans etc, as plotted below

I primarily store my worldwide scanned images alphabetically, by country, and then numerically, by catalog number. My U.S. collection follows the same general pattern but contains numerous subject-related folders.

I scan images of stamps typically only for the purpose of posting on a website like this one so I have a lot of them on a jump drive that I periodically reformat so I can add more images. Out of curiosity what are your reasons for scanning and saving images of the stamps in your collections? I guess I am wondering if this is something I should or want to do.

I just save my scans of stamps in the app "Pixave". One folder, all in. But then I don't have quite as many scanned images as some do! When I scan or take a photo of stamps for this forum, I just toss them out when they have been uploaded. If I would ever need another picture of a stamp, well, it is In my collection!

darkormex - Speaking for myself - I started scanning single stamps solely for using the scans to create 'digital collections' on virtual album papers (pages that never existed in real life). I am saving images of my album pages on skydrive for several purposes: - Easy accessible for reference when considering to buy more stuff - I am working offshore (=far away from home) so convenient to have my collection 'available' remotely - Just in case the worst should happen - loss by fire or robbery etc - images are good for insurance - My main trading partner (my brother) can access my images and see if he need to hang on to his own duplicates to fill holes in my collection - convenient to have images readily available for participating and sharing examples in this forum

I have a separate 1 TB drive just for stamps, with references in the appropriately named folders, and then countries alphabetically and then within each county folder are sub-folders- example Great Britain-> Queen Victoria->Penny black, 2 penny blue, Penny red (star), Penny red-Plates-> (with folders per 'decade" group...70, 80 etc), general, Jubilee, Fiscal
The idea is to (hopefully make it easy to quickly find)
Images of stamps I am keeping in my collection have an asterisk in the file name, and I have catalog number (Sc# for Scott and Y# for Yvert)

All great "personal ways" to inventory - I keep 3 backups of my WW inventories, 1 on my HD, 1 on a USB Key, 1 in the cloud backup.

I do not know how many times I have had a "wait a second" moment, when posting an image here on TSF as part of sharing a captured or scanned image and seeing it on the big screen. In that second look, things tend to jump out that you might not have seen initially, especially when the stamp has been magnified and there is no strain, intense focus or even the expectation of finding something; much can be revealed in these "quiet" moments...
As for being organised, I am working on it ;-)

The majority of my images are reference information. I have not got to the point where I scan album pages or individual stamps except when I am posting something. I do plan to scan later this year. For any reference information, I use Microsoft OnnNote to organize the information. OneNote, like Evernote, will automatically OCR any images so text in images can be found via a search. OneNote uses notebook like aspects with groupings like notebooks, sections, pages, and sub-pages. It also can store documents as attachment and with preview. This is a view of page from a notebook. Of course, there is an mobile version of OneNote (OneDrive stored on OneDrive) so can access from anywhere. You also have a browser add on to get screen clips (article, region, whole page). The page below was obviously clipped from another forum and never revised the title.

This is interesting. I didn't have a chance to respond yesterday because I had to go to the office. There are now a wide variety of online/electronic storage options for stamps images and data that it is a bit overwhelming to decide what resource to use. Part of it for me, and I imagine many of you are similar, are the overwhelming number of stamps I have and thinking about the daunting task of scanning, uploading and organizing this data into something readily available for me to view, either at home or from a mobile device. As I work on countries like Romania and Chile I guess I should just make this part of my process.
The days of going to a show with a paper checklist/wantlist, or even my album are numbered I guess. Also, I just like the idea of having this data at my fingertips but it does seem time consuming when I want to do other things either stamp-related or otherwise. How much time does it take as part of your overall work on stamps?

"How much time does it take as part of your overall work on stamps" Answering for myself, only taking images of complete pages, I would say less than 1% of the time. The advantage of doing complete pages is that the stamps are readily identified and one can see the entire series, years etc. I hardly ever buy single stamps anyway, too many holes to fill!!!

Your method, blaamand, might be the one that works best for me. I actually already have a number of my Steiner pages saved on my jump drive or uploaded to my Definitively Stamps FB page. There is no reason I couldn't start organizing these into folders on my external hard drive.

This is a very useful thread. Thank you, everybody! I scanned primarily my maxicards, per country: USA1.jpeg,..., USA800.jpeg, etc. Ideally, I would have time to index the same worldwide maxicard collection, but with other titles/tags, such as Tiger1,..., Tiger50, etc. Occasionally, I scan other interesting items from my collections.

wow, lots of organized computer files (and minds, I presume!). I've tried setting up various files/folders but I generally have my scanned covers/stamps all over the place, not on purpose--it just seems to work out that way! Generally I give long file names with as much info as I deem appropriate at the time; it makes searching for things relatively easy. I also keep track of the purchase price and month/year acquired. It's coded, so I can easily see what I paid and when (month/year). Here's a screenshot of what comes up when I search for "cinderella" (though I have many Cindys that are NOT "tagged" with the word cinderella, so I have some file names to update/change--when I get around to it!) I can also search by file name, type of file, view thumbnails, etc but the default is chronological, which I like! Not perfect but it works for me!

My screenshot above also tells me, third item from the bottom, that the very elusive candle label from Netherlands (?) posted elsewhere here, was screenshot saved by me, and re-posted as a "can you ID this?" on PhilaSeiten.de (PS in my filename) on my favorite German-language forum.
This helps remind me where items were posted by me or others; I include "NOT MINE" somewhere in the filename if it's, you guessed it, NOT MINE!!!!! Or "I bid...(price)" if I have hopes of winning some sort of auction item. Saves me the embarrassment of posting the same item twice, years apart. Done that, but no more!!!!!
